Information we handle

• Membership and account information: name, username, email address, mobile number, GHIN number, Club role, and account credentials. Passwords are stored by the Club website as protected password hashes.
• Golf and Club records: tournament registrations, waitlists, tee-sheet details, handicap information, scores, point balances and ledgers, and results.
• Content you provide: scorecard images and related review/OCR information, feedback, support requests, and email-preference choices.
• Security and technical information: session cookies, login and account-security records, device/browser information, and IP address information used to operate and protect the services.

Where the information comes from

Information may come from you, Club membership administration, Golf Genius tournament records, scorecard submissions, Club email, and authorized Club records. Golf Genius remains the primary source for tournament operations, scorecards, and results.

The iPhone app uses the Club's authenticated service to show your Club information. It may use iPhone Face ID or Touch ID only to unlock a locally stored sign-in session; biometric data is not sent to the Club.

How we use information

• Operate Club membership, events, registrations, waitlists, scoring, handicaps, and point accounting.
• Authenticate users, maintain account security, investigate misuse, and maintain operational records.
• Send Club and tournament communications according to your communication preferences.
• Provide support, improve the website and app, and respond to questions or requests.

When information is shared

We share information only as needed to operate the Club's services. This includes authorized Club officers and administrators, Golf Genius for tournament operations, service providers that host or support the website and email, and Google Sheets or Google Drive used for Club archive and backup records.

We do not sell personal information or use it for third-party advertising.

Retention and security

We keep information for as long as reasonably needed for active membership, Club operations, records, accounting, security, and legal obligations. Access is limited to authorized users based on their Club role. We use reasonable administrative and technical safeguards, but no internet service can guarantee absolute security.

Your choices and requests

You can update your email communication choices from Email Preferences after signing in. In the SF Men's Club iPhone app, use Profile → Delete My Account to submit a verified deletion request. If you cannot sign in, email admin@strawberryfarmsmensclub.com from the email address associated with your account.

We will verify and process the request before acting on it. A deletion request may result in deletion or de-identification of account data, except for information the Club needs to retain for accounting, security, legal, or Club operational records.
